Dossier Requirements for Rank Promotion

The following guidelines have been adopted to prescribe the format of Rank Promotion Dossiers. These guidelines are intended to ensure Rank Promotion Dossier materials are transmitted in a consistent format to aid in efficient review and decision making. Please ensure that all requirements are met before submitting the dossier. Dossiers that do not meet these requirements will be returned.  

Dossier Checklist for Rank Promotion

Candidate Materials:
Faculty Affairs will provide a link to the Rank Promotion Dossier to faculty who submit a Letter of Intent. The dossier will be pre-formatted with the required folders. 

Candidate materials should be saved to the appropriate folder in the Rank Promotion Dossier as described below. All Candidate materials must be uploaded to the dossier by October 1.

Dean & Peer Review Committee Materials:
Deans and Peer Review Committee Chairs should submit dossier materials to Faculty Affairs via rankpromotion@uncsa.edu by published deadlines. Faculty Affairs will upload those materials to the Rank Promotion Dossier.

Description of Dossier Materials
1. Application for Rank Promotion – Candidate

  • Prepared by Candidate as part Rank Promotion Dossier
  • Required Form: Application for Rank Promotion
  • Due Date: October 1.
  • Save in “Application” folder in the Rank Promotion Dossier

2. Self-Evaluation

  • Prepared by Candidate as part of Rank Promotion Dossier
  • Due Date: October 1.
  • Save in “Self-Evaluation” folder in the Rank Promotion Dossier

The self-evaluation serves as the foundation of the dossier and rank promotion evaluation. 

Using the Procedures for Faculty Self-Evaluation for Rank Promotion document for guidance, the Candidate will provide (1) a Self-Evaluation Narrative and (2) an Engaged & Sustained Résumé. 

3. Curriculum Vitae (CV)

  • Prepared by Candidate as part of Rank Promotion Dossier
  • Due Date: October 1
  • Save in “Curriculum Vitae” folder in the Rank Promotion Dossier

The most recent version of the Candidate’s CV.  It should be dated and paginated.  It should include a list of courses taught, a list of administrative assignments and professional creative activity/research.

4. Student Course Evaluations

  • Prepared by Candidate as part of Rank Promotion Dossier
  • Due Date: October 1
  • Save in “Student Course Evaluations” folder in the Rank Promotion Dossier
    • Each set of course evaluations should be saved as a separate document
    • Create academic year folders for each academic year. Create semester folders within each academic year folder.
  • Student Course Evaluations
    • 2014-2015
      • Fall 2014
      • Spring 2015

If the Candidate assesses themselves as “Outstanding” in Engaged and Sustained Teaching, they are required to include their student evaluations.  Otherwise, inclusion of student evaluations is optional. The Candidate should check with the Dean’s Office if he/she does not have copies of his/her student course evaluations for the period under review.

5. Syllabi

  • Prepared by Candidate as part of Rank Promotion Dossier
  • Due Date: October 1
  • Save in “Syllabi” folder in the Rank Promotion Dossier
    • Each syllabus should be saved as a separate document
    • Create academic year folders for each academic year. Create semester folders within each academic year folder.
  • Syllabi
    • 2014-2015
      • Fall 2014
      • Spring 2015

The Candidate’s syllabi for courses taught during the period under review.

6. Annual Evaluations

  • Prepared by Candidate as part of Rank Promotion Dossier
  • Required Form: Annual Evaluation/Update of Professional Activities Form, Parts I & II
  • Due Date: October 1
  • Save in “Annual Evaluations” folder in the Rank Promotion Dossier
    • Part I and Part II of each evaluation should be saved as one document
    • Each evaluation should be saved as a separate document. Do not combine multiple years into one document

The Candidate’s Annual Evaluation/Update of Professional Activities Form, Parts I & II for the period under review.  The Candidate should check with the Dean’s Office if he/she is missing either Part I or Part II of the Annual Evaluation.   

7. Supplemental Support

  • Prepared by Candidate as part of Rank Promotion Dossier
  • Due Date: Candidate may upload to the dossier until October 1. After that date, Candidate may submit any additional materials to Faculty Affairs to be included in the dossier at any time.
  • Save in “Supplemental Support” folder in the Rank Promotion Dossier

This includes any additional information in support of the review. This item can be updated at any time.  However, materials submitted after a stated dossier submission deadline does not affect subsequent deadlines and does not cause the Peer Committee, the Dean, the Faculty Rank Committee or the Provost to be obligated to re-evaluate a faculty member.

8. External Reviewer Nomination Form

The External Reviewer Nomination Form for Rank Promotion is completed by the Candidate and submitted to the Dean.  Candidates should recommend at least five reviewers to their dean.  See External Review Guidelines for Candidates & Deans for Rank Promotion and External Reviews FAQ for more information about selecting external reviewers and the external review process.

9. Copies of all Request for External Review Letters

The Dean submits copies of all letters sent to potential external reviewers requesting external review regardless of whether external reviewer accepted or not.  The Request for External Review for Rank Promotion must be used for all letters of request sent to potential external reviewers.

13. Dean’s Evaluation & Recommendation

The Dean submits the Dean’s Evaluation for Rank Promotion to the Provost.  This document addresses:

  • the three areas of evaluative criteria: creative activity/research, service, and teaching. The dean should indicate his/her assessment of the faculty member in each area using the Guidelines for Reviewers of Rank Promotion Applications and Definitions & Sample Criteria for ESP Rank Promotion for guidance.
  • the dean’s instructional observations (e.g. classroom, studio, lab)
  • student evaluations for each year under review only for those candidates rating themselves as Outstanding in Engaged & Sustained Teaching.
  • recommendations and expectations for future growth and development
